The Complete Cloud … It’s here … and better than ever!

Although I’m sure you’ve heard about the Cloud, do you know how much it costs and what it can do?

Trust me on this – once you’ve experienced the Cloud, you’ll never want to go back. And here’s the good news… it is priced to fit into anyone’s budget, including unlimited cloud storage, but it’s on a per user basis. So if you have 10 users, you’ll only be billed for 10 users. If you add one more, the bill increases by one user, etc… But what if you need to add a new server? Don’t worry—no charge. Believe me, this is one of those IT investments that is well worth it.

Here are just some of the perks:

  • You’ll never have to deal with another telecom bill
  • It covers all the servers you need in the cloud whether it’s 1 or 20, the price stays the same
  • It includes 24×7 support
  • New sleek device to connect to the cloud
  • Unlimited Cloud Storage (this is HUGE!) your data can grow and grow with no extra fees
  • And there is so much more…

If you’re interested in learning more, please give me a call or shoot me an email. I’d be more than happy to show you a real life demo so you can better understand what our Complete Cloud can do—you’ll get it once you see it live… It’s pretty sweet!

Be sure to contact me, Jeff Wheeler, 972-331-3311, jwheeler@intelinetsystems.com.

If you have been looking for a company that can assist you with moving to the cloud, look no further. Springfield I.T. Department offers on premises and off premises solutions to Cloud migrations in Springfield. We work with your team to assure all data is successfully moved to your new solution.

Your Website is a reflection of your company, your products and your services, and it needs to be visually appealing, polished and professional. It may be the first and only impression a potential customer receives of your company, and acts as your online business card as well.

By now, 98% of us have a website for our business,
but is yours bringing leads?

An attractive site is far more likely to generate a positive impression and keep visitors on your site once they arrive. The key is to have a clean and effective website, that can deliver your brand and message to prospects within 3 to 6 seconds.

Here are 3 great examples of what a good website looks like:

www.candy.com This is a very clean website that clearly delivers the company’s message—you’re there to purchase candy. Not too much wording, the search bar is clearly visible, coupons, etc. This is a true e-commerce website.

www.familyresidential.com I like this website because we built it :>) and because it’s simple and clean. The design is fresh looking and it’s super easy to navigate. A picture is worth a thousands words, and you see the banner text first thing when you arrive onto the website.

bigeyeagency.com This is a website that is out there…but effective. They have really done it right! And get this – when you do a Google search, they have the whole first page of content. Click here to see.

An unattractive or poorly built site will do more to hurt
your business than to help it.

If you have an existing site, or plan to develop one in the near future, it’s important to understand the characteristics that can make or break the effectiveness of your online investment.

I’ve been designing websites for 10 years now, and have an eye for what works. If you have not updated your website within the last 3 to 4 years—it’s time! Send me your current website and we will send back a new mock design to see what your website could look like.

✱ 7 Disaster Preparedness Tips Springfield I.T. Department Customers MUST Know ✱

It’s a fact—99% of y’all will read the first few lines of this article and then delete it. Please do not! Take a few minutes to read this…

As I walked into my doctor’s building today (a four-story building over by Medical City in Springfield) I saw box fans in every office – all throughout the building. I asked the receptionist what had happened. Apparently, a patient from the hospital’s psych ward had escaped and decided to sleep in the stairwell overnight. At some point, he must have turned on the fire hose and flooded the entire four floors!

Well, my doctor’s office had all of their PC’s and their sole server sitting on the floor…YEP! You guessed it…DONE. These devices are no longer working. And the data…well, let’s just say when you put a hard drive under water, the outcome isn’t good. This true story serves as a reminder that the unimaginable is also quite tangible. Are you prepared for the unexpected?

Here are my top 7 disaster preparedness tips to help ensure your priceless data stays safe

  • Make a Checklist
When it comes to disaster recovery (fire, flood, weather, thief, etc.), there is no time to just “wing it”, so making a checklist is your first key to success. Don’t have one? Right now is the time to make one. Make sure to include your Energy, Internet and IT service provider’s phone & account number on the list.
  • Conduct a Risk Assessment
What is the risk of X? It’s up to you to define “X”, but some examples are – loss of power, loss of servers, loss of the building. What risk does it pose to the health of the business?
  • Identify the Top Causes of IT Outages
If you’re not sure about this, please ask your IT professional. Have them create a list for you. The loss of data is 99% of the reason companies go out of business. Do you only have one server? If it dies without good, tested backups, what happens to the business? How long would you be able to keep the doors open and customers happy without backups?
  • Establish Communication Protocol
If you do not have a building because of a fire, flood or damage, where is your go-to spot? Can your phones be transferred in the blink of an eye to keep the business going? If they are VoIP phones, they most likely will. Again, it’s important to ask your phone administrator before disaster occurs.
  • BDR Education
Maybe you don’t know it, but Springfield I.T. Department offers our customers an amazing BDR (Backup Disaster Recovery) Solution. Do you have a comprehensive BDR Solution Plan? If not, GET ONE… It’s easy to justify the cost – If you lost your servers and data, the $400‒$500 is well beyond worth it!
  • Discuss Various Storage Options
Is your data stored correctly? Is it set up in a redundant fashion (meaning you have 2 copies of it)? If not, DO IT! Trust me, this is a big one and you’ll thank me later.
  • Test Your BDR Processes
Don’t just trust that your BDR plan is solid—do a test restore and request the data from your BDR solution provider to make sure it’s REALLY going to work in the event of an emergency.

Although these are all important details to consider, they’re just some of the tips and tricks that will aid in a smooth disaster recovery. For more details, please call Jeff Wheeler @ 972-331-3311 or email me: jwheeler@intelinetsystems.com

Office phone systems are great tools for productivity, and they serve a number of functions that we all use every day. We all make and receive calls and many of us with outdated systems have become accustomed to standard features such as voicemail, call hold, call waiting, etc.

It’s likely your old phone system has the following features:

  • Making and receiving calls
  • Internet office intercom
  • Voice mail
  • Call hold
  • Call waiting

So, do you know the key signs of when you need to replace your phone? If your phone only has the basic functions, it’s time for a new phone system.

Today’s Voice over Internet Protocol (VoIP) phones are amazing. They have so many features that you most likely never even knew you needed. However, once you have these conveniences, you get spoiled.

Features of VoIP

  • Call routing by DID (direct inward dial)
  • PC app to dial from your PC
  • Smartphone app to dial from your office phone via the app
  • Screen sharing
  • MS Exchange integration
  • CRM integration (Microsoft Dynamics, Salesforce, SugarCRM, Sage)
  • Voicemail/music-on-hold
  • Call following (rings multiple phones at the same time)

VoIP is not an expensive system. In fact, it’s so affordable, you’ll be shocked! Contact me at the office to get all the details (1-877-990-9397). Or send me a quick email, jwheeler@intelinetsystems.com. You’ll be glad you did!

Ever since I was a young boy, I’ve had a LOT of questions. I like to know what makes people “tick” and how things work. I think that’s why I ended up in the IT business – it’s by far the best way to measure data, predict algorithms, and the most effective way to calculate what people really want and/or need.

Recently, I’ve been pondering something that I see in my line of work, time after time…

At Springfield I.T. Department, we sell a ton of hardware and software, for any-and-all types of devices. We have two magnificent team members, Jennifer and Ted, that are dedicated to this particular service alone—with companies from all over the US coming to us for the unrivaled, 5-star service these folks provide.

But as I look over our sales orders, I can’t help but find it interesting that so many companies stick with the “same flavor” of device. From my calculations, it seems that Dell, HP and Lenovos are the top 3 PC brands that consumers are ordering through us, while it’s Dell and HP that dominate our server sales.

So I’ve got to ask… What brand do you prefer? When you decide to upgrade to a new PC, are you going to purchase an Acer, Dell, HP or another brand? Also, where would you purchase your new device—from a trusted reseller like us? Online? Call the manufacture direct? etc… What’s your plan to migrate the data over, and get it up and running?

Hey…I told you I had a lot of questions! Humor my inner nerd and take this short survey. It will take less than 4 minutes, and honestly, I’ll sleep better tonight (as weird as that may sound). Please, click right HERE to take the survey—It’s 100% anonymous!

Come to find out, some of our clients still don’t know about one of the free perks we offer—vCIO planning.

Even though it’s becoming very popular, and widely used around the world, there are still many people who haven’t heard much about this service. A vCIO, or virtual Chief Information Officer, collaborates with and advises clients’ IT departments and performs the same functions as a conventional CIO would.

Why a vCIO?

Because some organizations may not have the need for a full-time officer, while many more simply can’t afford to staff a CIO – this is where a virtual CIO comes into play. If you’re not already taking advantage of this free service, contact us today. This offer is open to both current clients and anyone who has ever done business withSpringfield I.T. Department, Inc!

Not a client yet? It’s time to start planning for next year’s budget…

How do you plan an IT budget?

We like to sit down with the business owner or management team and discuss their IT needs. Typically, we plan for the up-and-coming year. In this case, we’re already meeting with clients to plan out their 2016 IT Budget.

Here is how it works:

  • We provide an analysis of your IT environment
  • Review your business goals for the up-and-coming year
  • Determine if there is any technology needed to achieve these goals
  • Identify any aging technology in the organization
  • Discuss future acquisitions, changes in business strategies or new offices
  • Plan and design for strategic use of technology

Other key elements include:
Number of Employees
Growth Plans
Business Objectives

Once we’ve gathered all your information, we are able to formulate a custom-fit plan and provide you with a comprehensive, detailed budget analysis—without the technology “gotcha” glitches and unplanned expenses that many of our competitors seem to have.

At Intelinet, your success is our success! That’s why our top priority is always providing you with the high quality technology solutions that will increase efficiency, productivity and profitability. Ready to get started? What does your online business card look like?

As the owner of an IT Services firm, you can image I get a lot of web related questions from our customers. The one most commonly asked is if I know anyone that could design a good looking website. The short answer would be, sure…there are plenty of people out there that could create a good looking site, however, looks aren’t everything…

I personally enjoy web design, and actually I have a lot of experience in the field. It’s not a full-time business because I know what goes into making great websites, and quite frankly, I don’t have the time. But after hearing that so many clients were having a hard time finding a good company (or worse, had lost money from a bad design) I decided to connect with Andrea Ferguson, owner of 320 Designs.

We had a great talk and found out our companies had a lot in common. And just like Intelinet, she is always staying a couple steps ahead of her competitors. Andrea told me that for years she’s been telling both customers and designers they need to go mobile friendly. I’m not sure if you heard, but last April, Google changed a few policies on their search results. Now, no matter what your search results are on the computer, your website will be pushed down for other mobile-friendly websites if the user is on a mobile device (and we all know what people are using the most….) 320 Design’s motto is to deliver abundantly more than you could ever ask for. Andrea explained how having a dedicated team of writers, graphic designers, and website development folks on staff keeps her turnaround time fast and her prices reasonable.

Because we are always looking into the future to meet your needs, Intelinet is partnering up with 320 Designs to provide our clients with a radical new way of website design. Imagine a website conceived with forward thinking—carefully crafted, with every application and design seamlessly woven together, to better enhance your brand!

Questions? Drop me a line – I would love to connect with you soon!

2003 Server Migration in Today’s Times
From the desk of David Craig, Managing Partner

At this point, I have no doubt that you have heard all of the horror stories about what will happen if you don’t upgrade your Windows 2003 Servers. Does anybody really know what could happen if you remain on 2003? The question you should be asking is: Do you really want to take that chance with your business? For most companies still running on 2003, it boils down to three main reasons: budget, time, or lack of concern. At Springfield I.T. Department, we have several upgrade options for moving away from Windows Server 2003 and Small Business Server 2003 that include creative, on-premise solutions, as well as our Smart Cloud solutions.

We have designed a Cloud replacement for 2003 Server(s) for the small business customer. This provides users the ability to log into the Cloud server(s) from anywhere and on any device. We make the transition easy with migration services for your data, email, and applications to our secure Cloud. User productivity increases with the ability to run a Remote Desktop Session on your existing PC with multiple monitors, or log into our web-based client from any device that runs a browser. Both client software programs offer the same Windows Desktop experience that users have come to know so well. Managed Wise Smart Cloud for Small Business removes the headache of local servers and frees you and your environment from all the associated cost.

The Managed Wise Smart Cloud starts with a clean and error-free Active Directory structure, a Remote Desktop Server, an Exchange Server, and an Application Server to effectively run accounting packages or other business applications. And, our Cloud solutions can easily expand as your needs demand!

Are you ready to move to the cloud? Let us drive you there.

For those of you that still have questions about what the cloud is all about, just give us a call and let us demonstrate the solution to you. Let Intelinet assist you in taking that step away from 2003 and into a highly productive cloud environment. Springfield I.T. Department is located in Richardson, Missouri and has been providing IT services and solutions since 1982.

From the desk of Jeff Wheeler, Managing Partner

First of all, from time to time in the IT world, you as a user or a business owner will have complications. Issue here, issue there, just issues. So think about it. If you purchase IT assistance by the problem or issue, you can’t budget effectively. This means the more problems you have as a customer, the more money we make as your IT service provider. Ka-Ching! Your problem equals dollars for us.

The “answer” to the paying-by-the-problem scenario is to go with a flat-rate, monthly fee model such as our Managed Wise Elite offer. As our customer, when your business is running smoothly due to our preventative work, there are fewer issues we have to fix. The fewer issues we have to fix, the less labor dollars we spend on your account, and the more profitable you are as a customer of ours. You like less problems, we like less problems, so it’s a win-win for both of us! (As a side note, our TAMs, or Technical Account Managers, are required to walk into your office once a week, whether there is an issue or not. That is what we call customer service.)

Second of all, moving all your computing to our private cloud saves you money – Yep, it’s pretty easy! There are servers and virtual desktops, but your environment is on our private cloud. We own all of the equipment, so nothing is outsourced. We can drive you over to your cloud and you can touch the server where your data is being held. It’s not somewhere in LaLa land. Oh, and yes, you have normal work stations and laptops that you use every day.

When it comes to moving over to the cloud, resistance is futile. It is not a matter of IF you move, but WHEN! I have 3 cloud proposals on my desk as I type this article. We are helping companies forklift their businesses, their servers, and their processes to the cloud. Think about it: you walk into your office/home/hotel, and fire up your PC. The screen looks the same, you do the same job, you have the same process, but yet, your servers and systems are no longer in your office, they are now in our cloud (again, it’s our private data center). So, back to the original topic, budgeting IT. With your infrastructure in the cloud, it becomes a flat fee.

So, test me on this. Here is a math equation for you:

Let’s pick a 10 person office for grins.

Part 1

Average cost per user, per month: $ 99.00
X the number users/employees: 10
Equals the cost per month: $ 990.00
X 12 months, equals the total spent on IT for one year: $11,880.00

Remember, you don’t have to worry about server upgrades, patches, anti-virus, aging equipment, IT staff, or software upgrades. We manage everything for one low, flat fee.

Part 2

Take what you spent on IT last year and compare it to our flat fee. What is the difference? I will bet you a nice lunch at Salt Grass that it is either less than or within a few thousand dollars of your current spending. Here is the best part: all of your IT headaches are gone! Leave it to the IT Pros at Springfield I.T. Department, who LOVE THIS STUFF! Let us deal with the backend, while you focus on your business.

If you have any questions, I would love to hear from you.
